Another Employee ("we," "us," or "our") is based in the United Arab Emirates and provides AI-powered virtual employees across a range of business roles, along with custom integration and consulting services, to small and medium businesses ("Clients") in the United Arab Emirates, United Kingdom, United States, Canada, Australia, New Zealand, and other markets. This Privacy Policy explains what personal data we collect, why we collect it, and the choices and rights available to you.

Information we collect

Information you give us directly

When you submit our demo request form, we collect your first name, last name, business name, business website, business email, phone number, industry, and anything you write in the message field. If you contact us directly, for example by email or live chat, we collect whatever information you choose to share with us there.

Information processed on behalf of our Clients

Once a business becomes a Client, our service processes conversations and related data between our Client and their own customers, for example messages sent via WhatsApp, email, web chat, SMS, and other supported channels, along with associated appointment, booking, and CRM data. This data is provided to us by our Clients or their customers as part of using the service, and we process it on our Client's behalf to provide the service, for example to answer inquiries, qualify leads, book appointments, and carry out other tasks depending on the role and configuration in use. Our Client is responsible for having a lawful basis to share this data with us and for their own privacy notices to their own customers.

Information collected automatically

Our servers keep standard technical logs, such as IP address, browser type, and request timestamps, as is normal for any website, for security and troubleshooting purposes. We do not currently use Google Analytics or similar third-party analytics or advertising trackers.

How we use information

• To respond to and follow up on demo requests
• To provide, maintain, and improve the Another Employee service for our Clients
• To communicate with you about your account or request
• To comply with our legal obligations
• To detect, investigate, and prevent fraud, abuse, or security incidents

Third parties we share data with

• Third-party AI and large language model providers, used to power the conversational and automation features of the service. These providers process data strictly to deliver the service and are not permitted to use it for their own independent purposes.
• Messaging, calendar, and CRM platforms that our Clients choose to connect (for example WhatsApp, email providers, Google Calendar, HubSpot, and similar), where data flows are necessary to deliver the service the Client has configured.
• Professional advisors, law enforcement, or regulators, where required by law.

We do not sell personal data, and we do not share it for third-party advertising purposes.

International data transfers

Because we're based in the UAE and operate in the UAE, UK, USA, Canada, Australia, and New Zealand, personal data may be transferred to, stored, and processed in countries other than the one where you're located, including the countries where our service providers, including AI and LLM providers, operate. Where required by applicable law, we rely on appropriate safeguards for such transfers, such as standard contractual clauses or equivalent mechanisms, to protect your data.

Data retention

We retain personal data for as long as necessary for the purposes described in this policy. For example, demo request details are retained until we've followed up and for a reasonable period afterward for our own records, and Client and conversation data is retained in line with our agreement with the relevant Client, or until deletion is requested. We delete or anonymize data when it's no longer needed, unless we're required to keep it longer by law.

Your rights

Depending on where you live, you may have rights to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Object to or restrict certain processing
• Request a copy of your data in a portable format
• Withdraw consent, where processing is based on consent
• Lodge a complaint with your local data protection authority

This includes, without limitation, rights that may be available under the UK GDPR, the EU GDPR where applicable, the California Consumer Privacy Act and other U.S. state privacy laws, Canada's PIPEDA, Australia's Privacy Act 1988, New Zealand's Privacy Act 2020, and the UAE's Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data. California residents

If you're a California resident, you have specific rights under the CCPA and CPRA, including the right to know what personal information we collect, the right to delete it, the right to correct it, and the right to opt out of the sale or sharing of personal information. We do not sell or share personal information for cross-context behavioral advertising.

Cookies

Our website currently uses only cookies or similar technologies that are strictly necessary for the site to function. We do not currently use analytics or advertising cookies. If this changes, we'll update this policy and, where required, ask for your consent first.

Children's privacy

Our service is intended for businesses and is not directed at children. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us so we can delete it.

Security

We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, so we can't guarantee absolute security.

Changes to this policy

We may update this policy from time to time. We'll post the updated version here with a new "last updated" date, and where changes are material, we'll take reasonable steps to let you know.
